Frequently asked questions
The platform, pricing, setup, your data and every feature.
Getting started
Imobria is for independent agents, agencies and brokerages, and property marketplace operators. Agent is for one user and brings your own listings and client work together. Agency is for multiple users and adds shared team operations. Marketplace adds contributor accounts, listing approval and search across all contributors' listings, for operators in their country or region. We confirm the right product and scope for your business before payment.
Agent is for one user, with individual listing and client workflows, up to 8 custom-designed content pages and one training session. Agency is for multiple users and adds team roles, shared workflows and lead assignment, with up to 12 pages and two training sessions total. Marketplace adds contributor accounts for other agents, agencies and owners, approval of each listing before it goes public and search across all contributors' listings, with up to 16 pages and two training sessions total. The difference is how your business operates, not just the page count. All three use the same listing-plan prices and the same integrations. The product finder on the pricing page recommends one from four quick questions.
Setup windows are 3–5 business days for Agent, 7–10 for Agency and 10–14 for Marketplace. The clock starts once we receive your signed scope, cleared deposit, complete brand assets, required access and usable listing data. Third-party approvals and customer review delays pause the clock. Launch follows your approval and payment of the remaining setup balance.
Each standard setup includes migration of up to 500 listings using usable source data. We agree the format and any additional client or team-data migration in your scope; larger or more complex migrations need a separate quote.
A demo is an optional walkthrough to discuss your business, compare products and clarify your scope. You can also start from the Pricing page, choose a product and listing plan, and send us your details. Getting started does not take payment or start your subscription.
The platform
Your customer-facing website and agreed platform experience use your branding, colors and domain. The setup fee covers custom design and configuration. Any third-party screens, provider branding or other limitations are identified in your scope; white-label branding does not transfer ownership of Imobria’s underlying software.
Yes. We configure your domain and agreed branded sender addresses during setup. You provide the required domain and email-provider access, and complete any provider verification. Domain registration, mailbox subscriptions and paid delivery services are separate unless your quote includes them.
Agent, Agency and Marketplace all run on the same platform, with the same modules: CRM, listings, ticketing (web forms, email and WhatsApp Business), transactions, documents and e-signing, invoicing, calendar and viewings, website CMS, analytics, workflows, tasks, mortgage integration and the API. What differs is who uses it and how much we set up for you. Your agreed scope confirms the modules and integrations set up for your launch before payment.
An API-based implementation can be scoped for your existing website or app. We confirm supported endpoints, authentication, permissions and integration work before committing to it. API-only projects require an agreed quote; the standard product prices cover a branded platform that Imobria hosts and manages for you.
Every integration is available on Agent, Agency and Marketplace. We review the messaging, email, calendar, accounting and other tools you need, then confirm supported connectors and required access in your scope. Configuration of supported connectors is included within that scope; bespoke integrations require a separate quote. Paid provider services are separate, and their requirements and estimated costs are disclosed before payment.
Tell us which AI tool and workflow you want to use. We confirm connector availability, data access, permissions and any custom work in your scope before promising an integration. Paid AI-provider subscriptions and usage are separate from your Imobria listing plan.
We maintain the platform with security patches, bug fixes and agreed updates. Your subscription includes security updates, platform maintenance and bug fixes, plus one hour of minor content or configuration changes each month, with no rollover; bug fixes do not use that hour. Any client can request features, which go into the shared core. Larger changes and bespoke integrations are scoped and quoted separately.
Agency includes setup of up to three processes using existing Imobria tools, such as assigning new inquiries, creating follow-up tasks or routing viewing requests. This is an implementation allowance, not a limit on how often your team can run those processes. Marketplace includes the Agency setup scope; new functionality requires a separate quote.
Pricing and billing
Agent setup is $4,995, Agency is $9,995, and Marketplace is $14,995 for the standard scope. Standard reservation deposits are $1,500, $3,000 and $4,500 respectively, with the balance due after approval and before launch. The subscription starts at launch: 100 listings cost $99/month; 500 cost $250; 1,000 cost $450; 2,000 cost $800; 5,000 cost $1,500; and 10,000 cost $2,500. Higher capacity requires a custom quote. Prices are USD, with no staff-seat charges. Your selected plan stays fixed until an authorized billing user changes it.
Managed, published property listings count, including inventory published by your contributors. Draft, unpublished, archived and deleted listings do not count. External MLS/IDX search results merely displayed through a connected service are excluded; properties imported into Imobria and published as managed inventory count. Your selected plan governs capacity, and lower usage does not automatically lower your bill.
You can create drafts without upgrading. Once billing automation is live, publishing beyond your allowance will require an upgrade confirmed by an admin or authorized user with Billing permission. Monthly upgrades charge the prorated difference for the remaining month and activate capacity after payment. Annual upgrades require an approved quote for the prorated difference over the remaining term. Plan changes do not restart the 12-month commitment. Capacity alerts at 80% and 100% are planned as part of the listing-billing rollout.
Annual payment prepays 12 times the selected monthly price, with no annual discount. Monthly downgrades require authorized confirmation, take effect on the next UTC billing date, and require published inventory to fit the lower allowance. The current month is not refunded. Annual adjustments outside an approved upgrade require a written agreement; any agreed prorated credit remains available for an approved plan switch or future service, except where a refund is legally required.
Choose your product and listing plan, then send us your project details. We confirm your scope, contract and invoice before you pay the reservation deposit. Deposits are non-refundable once paid, except where legally required or if Imobria cancels the project. After approving the completed work, pay the remaining setup balance before launch. Use the payment options available on your invoice; bank transfers are confirmed only after receipt and reconciliation. Your subscription begins at launch, not when you send your inquiry.
The subscription has a minimum 12-month commitment from launch, paid monthly or annually. Send cancellation notice to support@imobria.com at least one calendar month before term-end, and keep the ticket acknowledgment. You can also use your customer support portal when available. Early cancellation requests stop renewal, but service and scheduled payments continue through the current term. Another 12-month term requires explicit acceptance. A confirmed late-notice fee is capped at one month of your current plan price. Prepaid annual customer cancellations do not receive cash refunds; mandatory legal refund rights still apply.
Security and data
We agree and verify workspace boundaries, team permissions and support access for your implementation before launch. Your scope identifies hosting locations, encryption, backup and recovery arrangements, and the activity records available to your team. Tell us your security and compliance requirements before ordering; we confirm what is included rather than assume every configuration meets the same requirements. No platform can guarantee that a security incident will never occur.
Hosted in Europe. Hosting locations for application data, files and backups are documented in your scope and data processing agreement (DPA). Tell us any European hosting or residency requirements before ordering. Recovery arrangements, service levels and support access are confirmed for your deployment. Connected services may process data in other regions; we review their locations and terms when agreeing your integrations.
You retain your branding, content and listing data. We agree export formats, access and offboarding arrangements in your customer contract. Imobria is a hosted, managed platform that we run for you. Request any specific migration or export requirements before you order.
Features
Questions about each module, also on its own page.
CRM
Yes. We agree which data comes across in your scope and import it during onboarding.
Web forms, email and WhatsApp Business. Each message lands next to the property it's about.
On Agency and Marketplace, you reassign it and the full history stays. Agent is for one user.
What the next person should see on a contact, and who owns it at a handoff. We set up your contact types around that.
The CRM is included in every product. The Pricing page lists setup fees and monthly listing plans.
Listing management
Yes. Setup includes migrating up to 500 of them. Tell us where they live today and who keeps them up to date.
Yes, through an MLS/IDX provider, billed separately. Properties you import and publish count toward your listing plan; results that are only displayed don't.
On Marketplace, yes. Contributors submit their own listings, and your team approves each one before it goes public.
Unpublish or archive it. It leaves your website, and the record stays in Imobria.
Listing management is included in every product. Monthly plans are priced by the number of listings; the Pricing page has the details.
Multi-tenancy
Yes. Every client runs on the same platform, but your data is kept separate and access-controlled, so only your organization's members can open it.
Your roles do. Give each person a role, such as owner, branch manager or sales agent, and change it in one place. Every change is recorded in the activity log.
Yes. Your logo, colors and domain sit on the shared core, with the modules you switch on.
Agency and Marketplace, which are for teams. Marketplace adds contributor accounts for outside agents and owners. Agent is for one user.
In Europe, encrypted at rest, with point-in-time recovery.
Analytics
From your own records: the contacts, inquiries, listings, viewings and deals your team works in. There is no separate spreadsheet to keep in sync.
Listings, inquiries by channel, viewings and deals over time. Tell us what you review each week, and we set up your overview around it before launch.
Yes. Web forms, email and WhatsApp Business are counted separately, week by week.
Analytics is included in every product. The Pricing page lists setup fees and monthly listing plans.
Documents
On the listing, contact or deal they belong to, so the next person finds them where they expect.
Send an agreement for signature from Imobria and see who has signed. Signatures run through an e-signature provider, which bills its own fees.
On Agency and Marketplace, roles decide who can open each document. Every change is recorded in the activity log.
Which record each document lives on, and which ones need a signature from whom. We set up your document types and signing steps around that.
Documents and e-signing are included in every product; the e-signature provider bills its own fees. The Pricing page lists setup fees and monthly listing plans.
Transactions
Yes. Sales and rentals each follow their own stages, which we set up with you before launch.
They sit on the deal next to the other steps, and connect through the mortgage integration.
As invoices on the deal. With Xero or QuickBooks connected, they sync to your books.
A recent sale or rental as the example: its steps, documents and people. We set up your deal stages from it.
Transaction management is included in every product. The Pricing page lists setup fees and monthly listing plans.
Invoicing
The ones property work runs on, such as commission, deposits, management fees and marketing. We set up your invoice types and payment terms before launch.
Yes, with Xero or QuickBooks. Invoices and financial records sync to your ledger; the provider's own subscription is separate.
Every invoice shows whether it's a draft, due, overdue or paid, and you can add a follow-up task to anything overdue.
Invoicing is included in every product. The Pricing page lists setup fees and monthly listing plans.
Automations
Things that happen in Imobria, such as a new inquiry, a booked viewing or a deal reaching its next stage.
Routine steps: create follow-up tasks and send reminders. On Agency and Marketplace, it can also assign inquiries and route viewing requests.
No. Pricing, offers and anything unusual stay with your team. Workflows prepare the work; people make the call.
On Agency and Marketplace, setup includes up to three team processes, such as inquiry assignment, follow-up tasks and viewing-request routing. You can add your own later.
Automations are included in every product. The Pricing page lists setup fees and monthly listing plans.
Calendar
Google Calendar, Outlook and CalDAV calendars, subject to each provider's support. Each agent connects the one they use.
Yes, through Cal.com. A booking is linked to the right contact and lands on the right calendar.
No. Valuations, calls and other appointments sit on the same calendar, each linked to its property and client.
Who confirms a time with the client, and how a changed viewing should reach the right person. We connect your calendars around that.
The calendar is included in every product. The Pricing page lists setup fees and monthly listing plans.
Shared inbox
Web forms on your website, email (Gmail, Outlook or SMTP / IMAP) and WhatsApp Business. Each message arrives as a ticket.
We connect your WhatsApp Business account before launch. It follows Meta's requirements, and Meta bills its own messaging fees.
On Agency and Marketplace, yes, and everyone can see who has each ticket. Agent is for one user.
Which channels your team handles and who picks up a new inquiry. We connect them and set up the handoffs around that.
The shared inbox is included in every product. The Pricing page lists setup fees and monthly listing plans.
API
Yes. Your site or app runs on your Imobria data through the API. We scope it with you first.
Listings come first. Other modules are added per project, and we confirm the endpoints with you.
Every request is checked against your organization and its permissions, so your app only reaches your data.
Yes, through MCP: AI assistants work with the data you choose, under the same permissions.
API-only projects are quoted separately. The Pricing page covers the branded platform we host and run for you.
Webhooks
Changes such as a new inquiry or a published listing. We agree the events with you during setup.
To the URL you choose on your own system, with the record details it needs to act.
Yes. A delivery log shows each event, where it went and how your system answered.
Someone has to look after the receiving system. For no-code options, Zapier and Slack connect on every product.
Webhooks are available on every product. We quote any custom integration work on your side separately.
