AI Property Matching: Clever Ranking Starts With Boring Records

AI matching promises to show each buyer the right homes first. Here is how it works, what it needs from you, and why tidy records matter more than the model.

A buyer tells your agent they want three bedrooms, a garden and a short walk to the station. Two weeks later they make an offer on a two-bedroom flat with a balcony, nowhere near a station.

Nobody is surprised. People are not spreadsheets.

That gap between what buyers say and what they choose is exactly what AI property matching tries to close. It is worth understanding, and the good news is that most of what it needs, you already have.

Filters say yes or no. Matching says "most likely"

A filter is a bouncer at a door. Three bedrooms? In. Two? Out. Every rule counts the same, and nothing gets ranked.

Matching works more like a good bookseller. You mention a novel you loved, and they do not hand you every book with the right page count. They pull out three, in order, and the first one is usually right.

AI matching tries to do the same with listings. It weighs what a buyer asked for against what they actually did, and orders homes by how well they fit.

What the bookseller is really using

The bookseller is not psychic. They are remembering.

They remember what you bought, what you put back, what you asked about and what made you pull a face. Take that memory away and even a brilliant bookseller is just guessing.

A matching model is the same. It learns from signals like these:

  • The searches a buyer runs and the listings they save
  • The inquiries they send, and about which homes
  • The viewings they book, attend or cancel
  • The offers they make, and the ones they walk away from

Notice that none of these are clever. They are records. Matching is a ranking trick sitting on top of a filing system.

Messy records give a confident wrong answer

Here is the uncomfortable part. A model fed messy data does not say "I am not sure". It ranks with exactly the same confidence either way.

Picture an example agency, call it Harbour Homes. Many of its inquiries arrive on WhatsApp and stay in one agent's phone. Viewings sit in three different calendars. Half the listings never mention outdoor space, because nobody filled in the field. Any matching tool sees buyers who never asked about anything, and homes without gardens.

It is the bookseller with amnesia, recommending with a smile.

Before you ask a model to be smart, make sure your records are not quietly misleading it.

Where Imobria fits, honestly

Imobria does not include AI matching. We would rather say that plainly than dress up a sort order as intelligence.

What it does is keep the memory in one place, which is the part matching depends on:

  • CRM holds each buyer, their requirements and their history
  • Ticketing brings inquiries from web forms, email and WhatsApp Business into one inbox, linked to the contact
  • Calendar and viewings records who saw what, and when
  • Listing management keeps each property's details complete and consistent

Because the modules share the same contacts and listings, an inquiry, a viewing and an offer all land on the same buyer's record.

If you want to experiment with matching, the API and MCP let you connect your own tools, or an AI agent such as Claude or ChatGPT, to that same data. You choose the brain. We look after the memory.

What good matching still cannot do

Even with perfect records, a ranking is a suggestion. It does not know that the buyer's mother is moving in next spring, or that they fell for the flat because of the light in the kitchen.

That is still the agent's job. The best use of matching is to clear the noise, so your team spends its time on the conversation instead of the shortlist.

Start with the filing, not the model

If you are curious about AI matching, do the boring work first. Get every inquiry, viewing and offer onto the right contact. Fill in the listing fields buyers actually care about. Then any tool you try has something true to learn from.

Clever ranking starts with honest records.
